Job summary

We have two great opportunities to join our Reception team based in Southampton!

As a Receptionist, you will be the first point of contact for all visitors and staff to the site and will be able to provide great customer service to all that you come into contact with. Ideally, you will have experience of working with people however if you have a willingness to learn and enjoy working with others - we want to hear from you!

You should be confident working your way around a computer and be confident speaking on the phone.

One position will be based at Highpoint Venue (Southampton) on a 3 month fixed term contract with hours 0800-1600 to be worked Wednesday-Friday.

Another position will be based at The Adelaide Health Centre on a 6 month fixed term contract with hours 0800-1600 to be worked Thursdays and Fridays.

Main duties, tasks & skills required

  • Use & accurately populate the electronic record system (Systm One) with information to include referrals, scanning & uploading information from other services in a timely manner etc., taking responsibility for the quality of the data & taking note of the Health Records Standards & Procedures & Record Keeping Policy
  • Follow agreed processes for dealing with emails on Outlook and nhs.net, on a regular basis prioritising urgency & importance, signposting/dealing with queries (often sensitive) regarding issues arising
  • Provide support to training events e.g. away days, skill slots etc. involving the coordination of diaries, venue & hospitality booking as appropriate
  • Monitor & order stationery/leaflets, clinical & general supplies & place order request when necessary
  • Attend & participate in team/other meetings, ensuring any actions are completed by the required date & take minutes if requested
  • Provide cover & support during times of absence for the core functioning of the admin team
  • Offer guidance & training of Band 2 or new staff as required
  • Maintain current office policies & procedures, be actively involved in their development
  • Undertake limited supervision of Band 2 or new staff in absence of the Admin Supervisor & Admin Manager
  • Provide admin support to the Admin Supervisor to set up & review administration systems/processes as deemed appropriate

Essential

GCSE English and Maths level 4/C or above, or a good standard of general education
RSA 3 Typing or Equivalent
Business and Admin NVQ Level 3 equivalent
